These Terms & Conditions (“Terms”) govern participation in The DaVinci Awards®, operated by Awarding and Consultancy International Ltd (“the Company”).
By submitting an entry, the Entrant agrees to be bound by these Terms.
These Terms apply to all divisions of The DaVinci Awards®:
- Product Innovation
- Lifestyle
- Tech
- Business
1) DEFINITIONS
For the purposes of these Terms:
- “Entrant” means any individual or organization submitting an entry.
- “Entry” or “Submission” means all materials submitted as part of the application process, including written responses, supporting documents, and optional product samples.
- “Program Year” means the annual cycle of The DaVinci Awards®.
- “Judges” or “Subject Matter Experts” means individuals engaged by the Company to evaluate submissions.
- “Website” means www.davinciawards.com and any associated submission platforms used by the Company.
- “Star Rating” means the judging outcome, awarding 1, 2, or 3 stars.
2) ELIGIBILITY AND ENTRY REQUIREMENTS
2.1) Submission Method
All entries must be submitted through the official online entry form on the Website.
Entries submitted through any other method will not be accepted.
2.2) Completion Requirements
An entry is not considered complete, and will not proceed to judging, unless:
- The online entry form has been submitted, and
- Full payment of all applicable entry fees has been received.
2.3) Supporting Materials
Entrants may submit optional supplementary materials such as documents, visuals, reports, or links.
2.4) Product Samples
For product entries, Entrants may submit physical samples.
Entrants must contact enter@davinciawards.com to arrange delivery.
The DaVinci Awards®:
- Accepts no liability for lost, damaged, delayed, or destroyed samples
- Is not responsible for customs duties, import taxes, or international shipping charges
- Does not return samples under any circumstances
- Treats submission of a sample as optional and not a guarantee of recognition
2.5) Number of Entries
Different products, services, initiatives, or projects, even from the same organization, each constitute a separate entry and incur a separate set of fees.
2.6) Deadlines
Entries must be received by the deadlines published on the Website.
Late entries may be accepted at the Company’s discretion and may incur additional fees.
3) ENTRY FEES, PAYMENT, AND REFUNDS
3.1) Entry Fees
Entry fees apply per program, per category, per entry, per Program Year.
3.2) Payment Requirements
Entries will not be reviewed or judged unless all applicable fees have been received in full.
3.3) Non-Refundability
All entry fees are non-refundable once payment has been received.
3.4) Payment Processing
Payments must be made using the methods listed on the Website and are securely processed by approved third-party providers.
4) JUDGING AND EVALUATION
4.1) Judging Structure
The DaVinci Awards® do not use shortlist or finalist stages.
All recognized Entrants are awarded either:
- 1 Star,
- 2 Stars, or
- 3 Stars,
based on judges’ evaluation of creativity, craftsmanship, innovation, and category-specific excellence.
4.2) Evaluation Approach
Judging is based on the expectations, descriptions, and guidance published on the category pages of the Website.
Internal scoring mechanisms and judge comments are confidential and not shared with Entrants.
4.3) Final Decisions
All judging decisions are final and not subject to appeal.
4.4) Communications Regarding Judging
The Company does not enter into correspondence regarding scores, qualitative assessments, or judging outcomes.
4.5) No Guarantee of Recognition
Submitting an entry does not guarantee receiving a star rating.
5) CONFIDENTIALITY OF SUBMISSIONS
5.1) Confidential Handling
All submissions are treated as confidential and shared only with authorized Judges and Company personnel.
5.2) Exceptions
Confidentiality does not apply where:
- The Entrant provides explicit permission for publication
- The material is already publicly available
- Disclosure is required by law
6) INTELLECTUAL PROPERTY AND RIGHTS OF USE
6.1) Ownership
Entrants retain intellectual property rights in their submission materials.
6.2) License to the Company
By submitting an entry, the Entrant grants the Company a non-exclusive, royalty-free license to:
- Review and distribute the submission for judging
- Use the Entrant’s organization name, product name, and logo to announce star-level achievements
- Publicize Entrant recognition unless the Entrant expressly requests otherwise
Any additional use of submission content requires Entrant consent.
6.3) Entrant Warranties
The Entrant warrants that:
- They have full rights to all materials submitted
- Submission content does not infringe third-party rights
- All information provided is accurate and lawful
7) PROGRAM CHANGES
The Company reserves the right to merge, split, rename, or withdraw categories at any time and without notice.
8) WITHDRAWAL, CANCELLATION, AND MODIFICATION
8.1) Entrant Withdrawal
Entrants may withdraw their submission at any time. Entry fees are non-refundable.
8.2) Program Modifications
The Company may modify deadlines, categories, or program structure at its discretion.
8.3) Program Cancellation
If a program is canceled, entries may, at the Company’s discretion, be transferred to a future Program Year.
9) LIMITATION OF LIABILITY
To the fullest extent permitted by law:
- The Company is not responsible for incomplete, corrupted, lost, or misdirected submissions
- The Company is not responsible for technical failures or third-party disruptions
- Participation does not guarantee any reputational or commercial benefit
- The Company’s total liability shall not exceed the entry fees paid by the Entrant
Nothing in these Terms limits liability where such limitation is unlawful.
10) DATA PROTECTION
Personal data is processed in accordance with the Company’s Privacy Policy.
By entering, Entrants consent to their data being used for the administration of The DaVinci Awards®.
11) INDEMNITY
Entrants agree to indemnify the Company against any claims arising from:
- Infringing or unlawful submission content
- Misrepresentation
- Unauthorized use of third-party materials
- Breach of these Terms
12) PUBLICITY RIGHTS
The Company may publicly announce star-rated Entrants unless the Entrant opts out.
13) TROPHIES
13.1) Eligibility
All star-rated winners receive one trophy per winning category, regardless of whether they achieve 1, 2, or 3 stars.
13.2) Trophy Type and Engraving
Trophies are acrylic and engraved with:
- The Entrant’s submitted organization or product name
- The category
- The star level achieved
Engraving is produced exactly as submitted.
The DaVinci Awards® is not responsible for errors originating from Entrant-supplied information.
13.3) No Cash Value
Trophies have no cash value and cannot be redeemed, exchanged, credited, or refunded.
13.4) Production and Delivery Timeline
Trophies are produced and shipped within nine (9) months of winners being announced.
13.5) Shipping Region
Trophies are shipped only to the following territories:
- United States
- Canada
- Mexico
No other regions are eligible for trophy delivery.
13.6) Delivery Address and Contact Information
Trophies are shipped to the Nominated Organization Address provided with the entry.
Entrants, including PR agencies, are responsible for providing accurate delivery information and a valid contact name required by the courier.
The DaVinci Awards® is not responsible for delivery issues arising from inaccurate details, courier delays, or returned/rejected shipments.
13.7) Changes to Details
Requests to change organization names, product names, delivery address, or delivery contact must be submitted to enter@davinciawards.com before production begins.
No changes can be made once production has started.
Entrants may not request proofs or pre-production samples.
13.8) Production, Shipping, and Fees
All trophy production and shipping costs are included in the entry fee.
The DaVinci Awards® will never request additional payment for trophy manufacturing, shipping, customs, duties, or handling.
Entrants should treat any communication requesting additional payment as potentially fraudulent.
13.9) No Refunds
No refunds are provided for trophies, including when:
- Entrant details were inaccurate
- Delivery is delayed
- The Entrant no longer wishes to receive/display the trophy
- The Entrant becomes ineligible due to rule violations
13.10) Replacements
Replacement trophies are issued only if the original trophy arrives damaged.
Replacements will not be issued for Entrant-supplied errors, courier delays, or damage occurring after successful delivery.
Damage must be reported promptly to enter@davinciawards.com.
13.11) Trophy Usage
Winners may publicly display their trophies and share images, provided such images do not:
- Remove, obscure, distort, or alter any The DaVinci Awards® branding or logos
- Misrepresent the star level achieved
- Modify or falsify engraved details
- Present the trophy as a different award
- Mislead, deceive, or imply false endorsement
- Create or imply a replica or unofficial version
Reasonable edits (lighting adjustments, non-obscuring cropping, resizing, aesthetic staging) are permitted.
13.12) No Replication or Alteration
Entrants may not create, commission, or distribute replica trophies, digital mockups, or any representations resembling official trophies.
13.13) Revocation
If an Entrant’s win is revoked due to a breach of these Terms, the Entrant must immediately cease displaying the trophy and remove all related images.
13.14) Data Protection
Engraving and delivery details are processed in accordance with the Company’s Privacy Policy.
14) BADGES
14.1) Eligibility
Only star-rated winners may use official The DaVinci Awards® badges.
14.2) Approved Badge Assets
Entrants must use only the official badge files supplied directly by The DaVinci Awards®.
Entrants may not modify, recolor, distort, crop, recreate, or generate their own badge versions.
14.3) Usage Restrictions
Entrants must not:
- Use badges in misleading or inappropriate contexts
- Imply endorsement by the Company
- Use outdated or withdrawn badge files
- Continue using badges after a win has been revoked
14.4) Revocation
Badge privileges may be revoked for misuse or breach of these Terms.
15) EDITORIAL FEATURES
15.1) Editorial Feature Eligibility
Star-rated Entrants may be selected to receive an editorial feature written by The DaVinci Awards® in-house editorial team.
15.2) Information Submission
Eligible Entrants may be contacted and invited to provide information, images, quotes, and supporting materials via a designated submission process.
Submission of such materials is optional; however, failure to provide sufficient information may affect the content, timing, or inclusion of the editorial feature.
15.3) Use of Submitted Materials
By submitting information, images, quotes, or other materials, the Entrant:
- Grants The DaVinci Awards® the right to use, reproduce, edit, and publish such materials in the creation of the editorial feature
- Confirms that all submitted content is accurate, lawful, and approved for publication
- Confirms that any individuals quoted or referenced have consented to the use of their name, statements, and attribution
The DaVinci Awards® is entitled to rely on all submitted materials without further verification.
15.4) Editorial Control and Approval
All editorial features are written, edited, and published at the sole discretion of The DaVinci Awards®.
Editorial features are not subject to Entrant approval prior to publication, and The DaVinci Awards® is under no obligation to provide drafts, previews, or revisions.
15.5) Accuracy of Information
Entrants are solely responsible for ensuring that all submitted information, including quotes, names, titles, statistics, and claims, is accurate and suitable for publication.
The DaVinci Awards® accepts no liability for inaccuracies originating from Entrant-provided materials.
15.6) Publication Timing
Editorial features are scheduled and published at the discretion of The DaVinci Awards®, typically on a first come, first served basis according to when complete and usable materials are received.
No guarantees are made regarding publication timing.
15.7) Images and Media
Where Entrants do not provide suitable images, or where submitted images do not meet required quality or formatting standards, The DaVinci Awards® reserves the right to use alternative images or media at its discretion.
15.8) No Obligation to Amend
The DaVinci Awards® is not obligated to amend, update, or remove editorial content following publication, including where:
- The Entrant requests changes to quotes or attribution
- Internal approval was not obtained prior to submission
- Personnel changes occur after submission
- Preferences or positioning change post-publication
Requests for amendments may be considered at the Company’s discretion but are not guaranteed.
16) GOVERNING LAW
These Terms are governed by the laws of England and Wales.
All disputes shall be resolved exclusively in the courts of England and Wales.
17) AMENDMENTS
The Company may update these Terms at any time.
Revised Terms apply to entries submitted after publication.
